To maximise the sales and profitability of the department by effectively managing the Resort’s golf, conference and wedding enquiries and
maximizing conversion levels to confirmed bookings. To provide accurate information of the front line team and full administration
support involved in the running of the department.
Main Duties
- To progress provisional bookings in a professional and efficient manner ensuring a sales conversion.
- To communicate with your team to ensure best sales rates are achieved across all business areas and are competitive.
- To pass large new business enquiries / leads to the Sales Managers.
- To attend any in-house function meetings providing accurate information on provisional and confirmed bookings.
- To produce accurate and up to date function sheets for the front-line operational team.
- Working with your line manager compile weekly function sheets for all F&B and front of house teams ensuring you follow up with any amendments for client’s functions.
- Manage your own diary to ensure you are available to meet clients for show arounds and follow up meetings as the needs of the client dictate.
- To answer any incoming calls as per your department procedure in a polite and courteous manner ensuring the clients name is used throughout each call. Ensure all clients receive a follow up email / written confirmation of their enquiry with a brochure and any requested documents within one working day. Also providing full details of our website.
- To enter all enquires on the shared database and any provisional or confirmed bookings onto the V1 system.
- Follow up on your functions with the front of house team before contacting the client for feedback on their events.
- Contact your contact / client / event organizer is contacted within 5 working days of the event for feedback with a view to securing future business.
- Update the systems with feedback and book any follow up on any future events.
- To maintain regular contact with your client prior to functions to ensure any changes are documented and relayed to the front of house team and payments are confirmed and paid prior to each function.
- Work any sales related events within the Resort. i.e. golf exhibitions or wedding fayres as the needs of the business dictate.
Resort Knowledge
- Full product knowledge of the golf product, including facilities, golf packages, corporate golf days and overnight breaks.
- Full product knowledge of meeting rooms, layouts and their capacities.
- Full product knowledge of food and beverage / menu options available on site.
- Full understanding of the complete resort facilities to include Hensol Castle, WRU Indoor arena, spa and leisure facilities plus football and rugby Academy
- The standard customer familiarization route.
Yield Management
- Be fully aware of the monthly sales budget along with the forecasted revenue for future months.
- Understand the yield management policy within the Resort and the flexibility of quoting rates against availability.
- Ensure any large enquiries are highlighted immediately to the Conference and Events Manager or Sales Director.
- Maximise all sales opportunities by working with the Resort Sales and Front of House Team to meet the clients needs.
Health & Safety
- Ensure that safe working procedures are adhered to at all times.
- Ensure that any accidents are reported against current legislation.
- Feedback and health & safety issues to you line manager ensuring any issues are highlighted and resolved in a timely manner.
- Be aware of the company health and safety and fire evacuation procedures.
